    Your Duties

    Stantec is seeking an Office Administrative Assistant. This position will ideally be located in our Mequon, WI office.  Specifically, we are seeking an individual to:

     

    • Preparing and editing documents, including reports, letters, proposals, newsletters, spreadsheets and presentations.
    • Working with managers and accounts payable to process invoices.
    • Copying, filing, and faxing; preparing, sorting, and distributing mail; entering data.
    • Coordinating meetings and agendas, making travel arrangements
    • Maintaining stock of office supplies and maintaining office equipment to ensure proper functionality.
    • Cordially answering and directing incoming calls
    • May assist with project activities, such as editing and preparing bids, tracking work and change orders, processing project status reports, relaying project communications, researching information, and other related support.
    • May assist with marketing support, such as assisting with proposal preparation, coordinating and ordering marketing materials, and assisting with preparations for conferences and trade shows.

    Your Capabilities and Credentials

    • Minimum of a 2-year associates degree.
    • Positive and outgoing, good customer service and phone etiquette skills are needed. 
    • Advanced skills using Microsoft Office including Outlook, Word, Excel, Access and PowerPoint is required.
    • Must be experienced in editing and developing reports, letters, newsletters, spreadsheets, proposals, and presentations.
    • Must demonstrate strong business writing skills, including proper use of punctuation, spelling and grammar.
