Stantec is seeking an Administrative Project Assistant in Charlotte, NC to support our Programs and Project Management team.

Your Duties

As an Administrative Project Assistant, you will:

  • Provide direct administrative support for the project management teams as needed
  • Schedule meetings with multiple members of our Project Management team
  • Assist team members in preparing materials for meetings
  • Assist team members in maintaining project data in e-Builder and with data input
  • Perform administrative tasks as needed to relieve the workload of team members
  • Assist with general office duties, including but not limited to typing of correspondence, meeting minutes, copying, scanning, mailings (including FedEx & messengers), etc.
  • Assist in updating documents such as project schedules and PowerPoint presentations
  • Coordinate project manager and project team activities and meetings-- task may involve booking travel, organizing conference and business development sponsorship registrations, ordering meals for meetings, cleaning up meeting rooms
  • Assist with submission of expenses and timesheets
  • Support other administrative assistants in the office with their workload during busy periods
  • Report to Regional Director - Southeast

Your Capabilities and Credentials

Minimum Qualifications:

  • 3 years minimum previous administrative or executive assistant experience
  • A high school diploma or the equivalent 
  • Must be able to work effectively in a team environment
  • Must be a self-starter and have a proactive approach
  • Must possess strong telephone, organizational, verbal, and written communication skills
  • Must be able to multi task and prioritize workload
  • Must be proficient in Microsoft Word, Excel, Access, Outlook, MS Project and PowerPoint

Preferred Qualifications:

  • Experience providing administrative support in an Engineering, Construction, Design or Architectural firm
  • Associates or Bachelors degree
  • Previous e-Builder software experience (or other project management software)
