The Records Management Analyst will be a part of our Practice Services team, and report to our Records Manager. This person will support tactical implementation and monitoring of the firm’s Records Management and Retention Program and will also support our legal discovery activities.  This is an hourly position with the option of being a permanent or contract employee.

Your Duties

Records Management Operations

  • Assist with new Iron Mountain account set-ups;
  • Assist staff with IMConnect (web-based inventory tool) set-up and use;
  • Perform quality reviews by auditing IMConnect activity and data integrity;
  • Develop tools to monitor Iron Mountain account access to ensure security;
  • Assist in the creation and implementation of records retention schedules;
  • Provide technical assistance, error feedback, and information to the staff;
  • Develop and promote performance and compliance measurements and management reporting;
  • Update and maintain Records Coordinator roster;
  • Assist leadership with audit follow ups;
  • Perform other related duties as assigned or required.

Legal Discovery

  • Assist staff with document and email collection activities;
  • Assist legal with document review & content redaction;
  • Support Records Manager in the use of Discovery Accelerator (Evault) and O365 Protection Center email search tools;

Also, this person would assist the Records Manager with organizing items and preparing for monthly RM Policy Webinars and other training sessions.

Your Capabilities and Credentials

To succeed in this role, you will require:

  • Two years of progressively responsible experience in a professional office environment;
  • At least 2 years of experience in records analysis;
  • High school degree or secondary education minimum;
  • Knowledge of records management practices in a large consulting company;
  • Expert knowledge of IMConnect (Iron Mountain’s inventory management portal);
  • A general comfort with technology and be proficient in the Microsoft Office software suite (including Microsoft Access and SharePoint) and advanced records management software;
  • Ability to work efficiently and accurately with large datasets;
  • The capability to assess priorities and work independently;
  • Flexible working hours;
  • Strong communication skills, both written and verbal;
  • Strong interpersonal abilities, coupled with an ability to work in a team atmosphere

Assets: 

Desirable candidates will have:

  • Experience in developing training for professional staff;
  • General knowledge of records management in engineering & design-based consulting operations;
  • Experience in project-based contracting in a consulting environment.
