Stantec's team of science and technology professionals provides document control / project control staff with both the support and opportunity to work on a wide variety of projects while learning.

Your Duties

The successful performance of a project depends on appropriate planning and execution.  The Project Coordinator is responsible for coordinating with Project Managers and design teams to maintain quality documentation and communication.  The ideal candidate must be able to coordinate with several project managers, discipline leads, and balance multiple projects and priorities.


Document Controls Responsibilities


The responsibility of Document Controls is to provide support for the successful execution of the project through conformance to Stantec’s ISO requirements, corporate policies, good project management objectives, and client requirements and standards.  Document Controls can best achieve these objectives by:

  • Fully understanding the scope of the project
  • Implement document control processes and procedures established for project functions including document tracking, deliverables scheduling and management, minutes, RFIs, submittals, change logs and other communication tools
  • Working closely with the project team to maintain a current and accurate understanding of project status, issues and changes
  • Understand and optimize Document Controls processes and system(s)
  • Provide support to project management and team members to adhere to client standards, Stantec required procedures, and document management.
  • Supporting business development functions
  • Preparation of high quality, accurate and timely documents such as: specification packages, reports, RFIs, minutes, submittals tracking, and other required documentation
  • Maintaining revision control
  • Other general administrative duties as required

The successful candidate will be responsible for:

  • Recording, composing, and distributing meeting minutes
  • Coordinating project deliverables and schedules
  • Preparing required project set up documentation
  • Maintaining document control best practices
  • Following record retention policies
  • Maintaining project best practices
  • Preparing project specifications, reports, and other required documents
  • Tracking of RFIs and submittals
  • Providing general team support / office support functions as required

Your Capabilities and Credentials

  • Minimum 3 years’ direct experience required
  • Experience with MS Office including Word, PowerPoint, Excel, and Access
  • Prior experience working in engineering, architecture, or construction field required
  • Prior knowledge of documentation / revision control is required
  • Prior work in documentation control / project assistant role is a plus
  • Demonstrated ability to handle multiple priorities and assignments
  • Excellent written and verbal communications a must
